Task Types in PracticeFlow
Tasks are central to how work is tracked and managed in PracticeFlow.
Tasks can be created in three different ways:
One-off tasks
Created manually for individual pieces of work, including ad hoc work that does not need to repeat.
Recurring Task Schedules
Recurring Task Schedules are created manually for work that repeats at a set interval for a particular client or record, for example updating a client’s monthly cashflow forecast.
A Recurring Task Schedule is not itself a task. The schedule defines when tasks should be created, and each task generated from it is a separate task.
For example, a weekly schedule may result in two or three separate tasks for the same client being active at the same time if earlier tasks have not yet been completed.
When you select Recurring in the Tasks tab, you are viewing the schedules, not the individual tasks generated from them. Tasks created by a schedule appear separately in the Current task view.
Changes made to a Recurring Task Schedule also update incomplete tasks generated from that schedule, except for values that have already been changed directly on an individual task.
See Creating Recurring Tasks Schedules for more information.
Smart Tasks
Smart Tasks automatically generate recurring compliance tasks using templates and client-specific information, such as accounting dates, VAT periods and confirmation statement dates.
They are typically used for services such as accounts, VAT, payroll and confirmation statements where the record has a Client relationship.
Smart Tasks are managed separately from Recurring Task Schedules and generate new tasks automatically as work progresses.
Task assignment follows the rules described in Assigning Users to Tasks.
See the separate Smart Task section for more information about how Smart Tasks are configured and triggered.
