Checklists – Managing checklist changes
Remembering changes for future tasks
You may need to amend a standard checklist for a particular client without changing the checklist used for other clients.
When editing the checklist on an individual recurring or Smart Task, select:
> Remember for future tasks

The revised checklist will then be used for future occurrences of that task for the same client.
This can carry forward changes such as:
- Added or removed items
- Amended wording
- A different item order
The completion status is not carried forward. Each new task starts with an incomplete checklist.
If Remember for future tasks is not selected, the changes apply only to the current task. The next task will use the checklist defined in the recurring task schedule or Smart Task Template.
Locking a checklist
A checklist can be locked within:
- recurring task schedules
- Smart Task Templates

When a checklist is locked, staff can view it and tick items as complete, but they cannot change its structure on an individual task.
They cannot:
- Add or remove items
- Change the wording
- Reorder items
- Carry individual changes forward to future tasks
Locking helps ensure that staff follow the agreed process consistently.
An administrator can amend or unlock the checklist from the relevant recurring task schedule or Smart Task Template.
